POP3 or IMAP: which protocol should you choose?

POP3 and IMAP are the two main protocols for accessing email and reading incoming messages. Choosing the right one matters because it affects how you store, access, and manage your email. Let’s look at the key differences, their advantages, and when to use each.

When you set up a mailbox on a new device, one of the first questions is: should you use POP3 or IMAP?

How POP3 works

POP3 is a one-way protocol. Your email program connects to the server, downloads the messages, saves them locally, deletes them from the server, and disconnects. If you later log in from another device or from Webmail, you won’t find those messages anymore.

You can enable an option to leave a copy of the messages on the server, but some clients may not recognize them correctly and download the same emails twice.

POP3 was designed for people who access email from a single device. Changes you make to messages, like labeling or moving them to folders, don’t sync back to the server.

How IMAP works

IMAP is a two-way protocol, designed for those who need to access the same mailbox from multiple devices or through webmail.

Each client connects to the server, requests a copy of the messages, and keeps the original version on the server. Actions like marking messages as read, moving them to folders, or applying labels sync automatically across all devices.
