How to use Qboxmail

SPF Record Configuration

By configuring an SPF Record you can indicate to the remote servers which IP addresses are authorized to send emails with your domain name as sender.
Setting up a correct SPF Record reduces the possibility that someone will send spam or phishing emails using your domain.
Setting up an SPF record is very simple, without additional costs and without impact on performance.
The configuration must be done from your DNS management panel of the domain from which your emails are sent.

Record type: TXT

Value: v=spf1 include:spf-c.cbsolt.net mx a -all

The above setting also authorizes emails sending by your web server.

ADVANCED settings to enable SPF records of other providers

If the emails that have your domain as sender also are sent from other providers (ex. MailChimp) you must also add their SPF settings by adding their “include”:

Record type: TXT
Value: v=spf1 include:spf-c.cbsolt.net include:servers.mcsv.net mx a -all

For example, if the IP address of your mail server (or SMTP dedicated to sending DEM) is 151.1.2.3 DNS you should enter:

Record type: TXT
Data: v=spf1 include:spf-c.cbsolt.net ip4:151.1.2.3/32 mx a -all

Refer to the technical support of your current DNS service provider for the correct setting on your DNS control panel.
On sender server side no settings need to be made to implement the records SPF.
The check of the correct setting of the SPF record is carried out by the server that receives the email.
Adding a correct SPF Record to your domain reduces the chance that your email will be marked as spam by mistake or that others may use your email address to send spam or phishing messages.

Check of the correct setting of the SPF record in the DNS

Qboxmail’s servers are able to validate the SPF Record for incoming emails and add a header that reports the outcome of this validation. This header can be viewed by opening the message source and it looks like this:

Received-SPF: pass (0: SPF record at spf-c.cbsolt.net designates 109.168.113.132 as permitted sender)Received-SPF: pass (0: SPF record at spf-c.cbsolt.net designates 109.168.113.132 as permitted sender)

When the result is “pass” it means that the SPF Record of the email sender is configured correctly.

In order to verify the correct setting of the SPF record on your domain, you can run the nslookup command from the terminal:

nslookup -q=txt yourdomain.com

which should result in:

yourdomain.com    text = “v=spf1 include:spf-c.cbsolt.net mx a -all”

In some cases (i.e. fraudulent use of your email addresses to send spam) it may be desirable to set -all (HardFail) instead of ~all (SoftFail). The difference is that -all requires recipient servers to reject messages from your domain if they do not arrive from one of the IPs specified in the SPF record (while with ~all the message arriving from IP not explicitly defined in the SPF record are equally accepted but can be penalized).

Webmail

Qboxmail offers you 2 different webmail clients:

Webmail SOGo

You can use whichever you prefer, just use your email address to login in and work with your email.

If you want to associate your domain yo the webmail address, like this webmail.yourdomain you need to:

  • creare a CNAME record that from your domain will link to one of the webmail address.

 

example:

hostname: webmail.yourdomain
cname destination: webmail.cbsolt.net

If you want, you can personalize also our SMPT, POP or IMAP addresses:

example SMPT:

type of record: **CNAME**
hostname: smpt.yourdomain

hostname: pop.yourdomain

Set up Exchange ActiveSync

Qboxmail supports the Exchange ActiveSync (EAS) protocol that allows you to configure email access, access book and calendar sharing on mobile devices such as Smartphones or Tablets in a fast and easy way. EAS is supported by iPhone / iPad, Android and Outlook 2013 and 2016 without the need to install plugins.

The address book and calendar are the same the user has in Sogo webmail. It is possible to create new address books and calendars directly from the smartphone. In order to share with other users it is necessary to set it up from Sogo first. An event added to Outlook will also be visible in the Smartphone or Sogo webmail and vice versa.

The advantage of EAS is an easy configuration on mobile devices and Push notifications in real time for the delivery of new emails and events on calendar.

Set up Exchange ActiveSync on your iPhone

  • Tap Settings > Mail > Account > Add account > Exchange
  • enter your email address, password and description (eg Qboxmail-EAS)

unless the autodiscover support is activated automatically, additional server information will be required:

  • Server: enter eas.cbsolt.net
  • Domain: leave the field empty
  • Username: enter your email address

Then, you can sync Mail, Contacts, Calendars, Reminders and Notes.
When you have finished, tap Save.

Set up is complete, you can also change how often you want email to be synced by tapping Setting > Accounts and Passwords and select your Exchange account. We suggest to sync 1 mounth. The out-of-office is not supported.

Now you can read and send messages with Mail App and you will receive push notifications for new emails.

Set up Exchange ActiveSync on Android

On your Android device

  • Tap Settings > Accounts > Add account > Exchange
  • enter your email address and password and tap Next
  • select Manual setup

enter your additional server information

  • Domain\username: your email address
  • Password: your password
  • Exchange server: eas.cbsolt.net
  • Use secure connection (SSL): Yes
  • Port 443
  • select Push in Account options to choose the email checking frequency
  • You can also choose to synch your calendar, contacts, and reminders.

Setup is complete and now you can synchronize email, contacts and calendars in your Android device

Set up Exchange ActiveSync on Outlook

Exchange ActiveSync Setup is available from Outlook 2013 version.

  • Go to Windows Control Panel > Mail
  • Select Account Setup and click on New
  • Select Manual setup or additional server types and click on Next
  • select Exchange ActiveSync and click on Next
  • Enter your name, surname, email address and password
  • select ALL in Mail to keep offline

Setup is complete and now you can read and send messages with Outlook.

This setup provides you the ability to synchronize email, contacts and calendars with Sogo online (and other smartphone configured with Exchange ActiveSync).

For large mailboxes or where more speed is needed in message synchronization, we always recommended to use IMAP.

Limits of EAS: Global Address List does not synchronize to Outlook. The free busy information is not available.

Mailbox storage space

Qboxmail provides mailboxes of 8GB and 25GB, but stay tuned, a new option for unlimited archive is coming very soon.

IMAP, POP and SMTP Settings

Qboxmail allows access to its POP3 IMAP and SMTP mail servers always through authentication with username and password. For your security, Qboxmail always requires to enable TLS and SSL encryption on your outbound connections.

Configuration settings for Users

Here we are the configuration setting to set in your email client:

POP3 access

  • Username (i.e. name@company.com)
  • Password
  • Hostname: pop.qboxmail.com
  • Port: 995
  • Security: TLS/SSL

IMAP access

  • Username (i.e. name@company.com)
  • Password
  • Hostname: imap.qboxmail.com
  • Port: 993
  • Security: TLS/SSL

SMTP access

  • Username (i.e. name@company.com)
  • Paassword
  • Hostname : smtp.qboxmail.com
  • Port : 587 (in case of issues try with 25 or 465)
  • Security : TLS/SSL

Configuration settings for Resellers

Qboxmail provides to Reseller a fully whitelabel hostname to setting in every user’s client, download the file with Whitelabel Configuration to get access to Qboxmail services.

Concurrent connection limits

In order to preserve and maintain a stable level of service by all users, the number of simultaneous connections via IMAP (50 allowed) and POP3 (10 allowed) for a single user from the same IP address is limited.

In the event that a user reaches this limit will receive an error on their email client and it will be possible to find it on ETLive too.

For resellers with a large number of email accounts, it is possible to customize the hostname of access to the services through the use of CNAME DNS records. This type of configuration requires the addition of the custom domain on our SSL certificate, contact us for more information.
